2. Data we collect
Enquiry data: When you submit an enquiry through our website contact form, we collect your name, email address and, if provided, your phone number and message content. This data is provided voluntarily.
Usage data: We may collect anonymised information about how our website is used, including pages visited, time spent and browser type, through analytics tools. This data does not identify you personally.
Cookie data: We use essential cookies to operate the website and, where you consent, analytics cookies to understand site usage. See our Cookie Policy for details.
Session-related data: During an engagement, you may share document information with a coordinator as part of the administrative coordination work. Kinfold does not retain copies of your household documents after any session concludes. Any notes taken during a session are held only as long as is necessary to produce the written deliverable for that session, after which they are deleted.
3. How we use personal data
Responding to enquiries: We use the name and contact details you provide to reply to your enquiry and to discuss the appropriate service for your situation. Legal basis: legitimate interest in providing the service you have asked about.
Service delivery: If you engage a service, we use your contact details to schedule sessions and send written deliverables. Legal basis: performance of a contract.
Administrative records: We retain basic engagement records (name, contact details, service engaged and date) for a period of three years to support any follow-up enquiries or service-related questions. After three years, these records are deleted.
Website improvement: Anonymised usage data is used to understand how the website is being used and to make improvements. This data cannot be used to identify you.
We do not: sell personal data, share it with advertising networks, or use it for direct marketing without your explicit consent.
4. Data sharing
We do not sell or rent personal data to third parties. We may share data with:
- Service providers: Email hosting and website hosting providers who process data on our behalf under appropriate data processing agreements.
- Analytics providers: Where you have consented to analytics cookies, anonymised usage data is processed by the analytics provider.
- Legal obligation: Where required by Malaysian law or a court order, we may disclose data to the relevant authority.
No data is transferred outside Malaysia except where your chosen email provider's infrastructure is located abroad, which is subject to that provider's own data protection commitments.
5. Data protection measures
We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss or disclosure. These include:
- Encrypted connections (HTTPS) for all website communications
- Access to enquiry data limited to Kinfold coordinators who need it to respond
- No retention of household document copies after session completion
- Regular review of data held and deletion of records beyond the stated retention period
In the event of a data breach affecting your personal data, we will notify you and the relevant authority as required under the PDPA 2010.
6. Cookies
We use essential cookies (necessary for the website to function) and, where you consent, analytics cookies. You can manage your cookie preferences at any time through our Cookie Policy page.

- Withdrawal of consent: withdraw consent to processing where consent is the legal basis, without affecting lawfulness of prior processing
- Objection: object to processing on the basis of legitimate interest in certain circumstances
- Erasure: request deletion of personal data we hold, subject to any legal obligations to retain records
To exercise any of these rights, write to us at [email protected]. We will respond within 21 days.
